Who is Tara Brevitt, and why was she looking for an automations expert for her membership and courses?

Tara Brevitt is the QUEEN of leadership coaching who has made a name for herself as the go-to for online business owners wanting to be bolder, etc

When she considered working with an automations expert, Tara was in the scaling stage of business. Her membership had just have a revamp (The Leaders Tribe) affiliate link) She wanted to double up on her offer and streamline the client onboarding and offer a premium experience.

Tara wanted the best automations specialist (as well as ClickUp specialist) to help her automate and streamline strategically using the tech stack she already had to feel confident about money, track progress and 

Tara and I first connected when she invited me onto her membership to deliver a training about systems and automations. She fell in love with my approach at collecting and analysing data using my customised automated finance spreadsheet. 

She booked a free consultation where shortly after,  to explore whether the automated spreadsheet would work with her tech stack (Kartra and multiple offers / payment plans). Tara was adamant that it was important for her to maintain the freedom of creating offers and launch them when she wanted, without being forced to simplify her product suite as other strategists had suggested.

The challenge: achieve all this without changing kartra and without limitations.

What made Tara realise she needed to automate her finance tracking and lead tracking in ClickUp?

Tara has had many successful launches and loyal clients, but keeping up with all the payments, subscriptions, different fees wasn’t easy. She had no idea about her future income. She needed a way to have a forecast of her income so she could confidently invest in team members, new software and planning launches. Also she saw how much each offer was profitable

How did I fit into her business growth plans and the strategic financial planning that needs to go with them?

I got to know Tara’s business via a VIP DAY where I audited every area of her business to suggest automations and process improvements. I identified critical gaps in her processes that needed to be filled, suggested tools and new processes and recommended automated tracking systems using ClickUp and google sheets

I used these insights to build a spreadsheet that tracked one-off sales and recurring revenue. The sheet collects current cash in the bank and expected payments, highlighting easily when there is a mismatch.

The sheet also analyse revenue divided by offer and by month. So Tara is able to see how much a specific offer is earing her per month, and where during the year she had peaks of revenue.

Then in ClickUp I added leads from Kartra, divided them buy offer, tracked when they joined and noted due dates. Set up reminders and automated emails to invite to renew their contracts

 

What were the results and the long-term impact of the automation project?

Tara has a place to track leads and xisting clients. Tara knows how much is coming in every month and is able to track and compare her growth over the years

This allows her to:

  • Plan her launches based on previous year’s results

  • Focus her efforts on the offers that are generating the most income

  • Keeping her hot leads roaster ready for when clients contract expire

  • Knowing how many clients she has, when the contracts are terminating, follow up with new clients to invite them to upgrade
